Do I have to be physically fit in order to join the tours?

Our tours are always customized to your wishes and fitness level. This means that the distance and pace of the hikes will always be adapted to a level that is comfortable yet exciting for you.

Most suggested hiking routes are doable for everyone, including less experienced hikers. The average elevation is up to 400 meters. In Italy, starting at Meran 2000, we will reach mountain tops of 2360 meters.

How does the booking procedure at Karo Voyage work?

We distinguish between two types of bookings;

1. You book a trip that is published on our website

- As soon as we have received your booking request, we will check with the accommodations for availability and confirm the final itinerary and package price by email.
If the desired travel dates are not available, we will consult with you and find an alternative departure date.
- You will receive an invoice and ensure payment of it.
- As soon we receive your deposit of 50% of the total invoice amount, we will book the accommodation(s) and confirm your reservation by mail.
- The full invoice amount should be transferred until 30 days before tour departure.

2. You book a tailor-made tour other than the tours offered on the website

- You contact us via the contact form, iMessage or WhatsApp.
- Based on your wishes, we’ll propose a tailor-made tour itinerary and a quotation for you.
- After you agree with the final program, you will receive an invoice.
- As soon we receive your deposit of 50% of the total invoice amount, we will book the accommodation(s) and confirm your reservation by mail.
- The full invoice amount should be transferred until 30 days before tour departure.

Is my reservation final at the moment of booking?

Yes, once you have received a mail confirmation, your reservation is final and binding. If you wish to cancel the reservation, the cancellation policy will apply.

Can I request preferences and/or essential services?

It is possible to specify a preference and/or an essential service when making a booking. Unfortunately, we can’t always guarantee that your preference will be realized. You can pass a request/preference as ‘preference’. These preferences are always passed on to the hotels. If the booking does depend on this preference, we will book an ‘essential service’ for you. However, there might be costs involved. We will always try to accommodate requests on medical grounds.

Applications on non-medical grounds are examined on a case-by-case basis. As soon as a booked essential service is accepted by us, we guarantee that your wishes will be met. We reserve the right to pass on the relevant costs to you.

Do you charge amendment or booking fees?

We do not charge booking fees. Amendment fees are subject to the rules of our suppliers.

Can I cancel a reservation or booking?

Yes, it is possible to cancel a booking. Check our cancellation policy below.

We advise you to take a travel- and cancellation insurance when making your holiday arrangement.

What is your standard cancellation policy?

Cancellation by you; cancellation fees are per person as follows;

121+ days before tour date: 25% of the total price,
120 – 31 days before tour date: 40% of the total price,
30 – 15 days before tour date: 80% of the total price,
14 – 0 days before tour date: 100% of the total price.
Should a tour be cancelled by the operator, you are entitled to a full refund of the amount paid.

Please note, in order to ensure maximum coverage, be sure to purchase a comprehensive travel insurance policy, for example, one that covers trip cancellation for any reason. It is important to read and understand what each policy covers.

Refunds

Any refunds due to cancellations and/or changes in the booking will be applied via the method of payment used during booking. Bank fees may apply depending on the conditions of booking and the nature of refunds.

Cancellations/changes in reservations in which any refund is due that are subject to bank fees will be paid by the cancelling party.

Does Karo Voyage have a travel guarantee?

Yes, Karo Voyage is member of the Association of Small-scale Travel Organisations, the VvKR, and offers a STO Garant travel guarantee with all her package tours. This means you can be sure of one thing: your booking payment is safe and protected. STO Garant ensures that the booking sum paid in advance is held in reserve for you. The money is released to Karo Voyage on the day after your trip ends. This means that there is no risk of your advance payment being lost due to bankruptcy or fraud. Read here more about it.

Karo Voyage is also member of The Calamiteitenfonds , a disaster fund. The Calamiteitenfonds makes payments in case consumers suffer financial loss when their travel company cannot or may not (fully) perform the agreed services due to a catastrophe or an impending catastrophe. Moreover, if the trip is terminated early, the Calamiteitenfonds will reimburse the travel sum on a prorated basis as from the date the trip was terminated.

Which expenses are included in my package prices?

Package prices are including:

• Taxes and service charges
• Hotel accommodation mentioned in the itinerary or similar
• Transfers and transportation as mentioned in the itinerary
• Meals as indicated in the itinerary
• Program and entrance fees as described in the itinerary
• Professional Tour Manager throughout the tour
• Fee for the Calamity Fund

Which expenses are not included in my package prices?

Our prices are excluding flights, meals, drinks and all items which are not mentioned in the program, such as personal expenses.

How much baggage can I take?

Per person one suitcase and hand baggage may be taken. The limited place that a private car offers to store baggage unfortunately leaves no exceptions. Try to keep the weight of your suitcase under 20 kg. Maximum 25 kg.

What should I bring with me on the tour?

A sunhat, sunglasses and protective clothing again the sun are essential, a water-resistant jacket, an umbrella, some warm clothes for the cold early mornings, as well as sturdy walking shoes and a bottle for taking water on a trail, minimum 1 liter.

I have a complaint, what should I do?

It may happen that you are not completely satisfied with something. If this is the case, report this as soon as possible to your Tour Manager. Complaints about the hotel should always be referred first with the hotel staff. If they can’t solve the problem, please inform your Tour Manager.

Complaints must always be submitted on the spot. Complaints that are reported after a trip, will be accepted for information only.

Reservations

Your reservation made by mail or by our online booking form, is an official booking, subject to these terms and conditions. Each booking is confirmed by mail after receiving your deposit of 50% of the total invoice amount. The full invoice amount should be transferred until 30 days before tour departure.

All information collected during the reservation process is subject to our Privacy Policy.

Changes

Karo Voyage and our local partners maintain the right to apply fees for changes after a booking is made. This could include cancelling/adding extra nights, etc.

Any changes to the tour date may incur a change fee and, depending on how close to the tour date, may be treated as a cancellation.

Cancellations & Refunds

The only way to protect your investment is purchasing a travel insurance.

Travel insurance

Our tour prices do not include travel insurance. We believes that your upcoming trip is a significant investment which you should cover. For this reason we strongly recommend purchasing comprehensive travel insurance which includes trip cancellation/interruption coverage.

Accuracy of information

We rely on our personal knowledge, first-hand experiences, as well as information provided by our local partners. We strive to present all tour details in a clear and informative way and keep all information up to date. We make an effort to correct inaccuracies on our site, however, we accept no responsibility for errors on the tour pages.

Karo Voyage & personal responsibility

In order to make the most of your trip, we have outlined a set of standards that we also follow when traveling. By submitting a reservation with us, you certify your agreement to the following Karo Voyage Traveler code:

• I have read all materials, tour details, and requirements
• I have chosen a tour that is appropriate according to my abilities, state of health, and fitness level
• I will participate at hikes/trails/tours at my own risk.
• I have a valid passport and up to date travel documents needed to travel legally
• I will respect the laws and customs of the countries I am visiting
• I understand that traveling with a group sometimes involves compromises to accommodate all travelers needs
• I understand that weather is an uncontrollable variable
• I will always follow local travel traffic laws and safety laws

Limitation of liability

Karo Voyage, its employees and assigns does not own or operate any entity which provides, or is to provide, goods or services for your trip, including, for example, hotel accommodation, facilities, transportation companies, food service providers, equipment suppliers, etc.

Karo Voyage responsibility is strictly limited. Karo Voyage is not responsible for the acts or failures to act, will fully or otherwise, of its suppliers, or of any other third party over whom Karo Voyage has no control. As a tour operator, Karo Voyage promotes, organizes and sells tours, which may consist of surface transportation, excursions and accommodations that Karo Voyage purchases or obtains from suppliers, who are themselves independent contractors separate from Karo Voyage.

Karo Voyage is not liable for any bodily injury or harm, accidents, property damage or personal loss as a result of, but not limited to: physical exertion for which the participant was not prepared; travel by plane, train car, bus, boat or other mode of transportation (such as bicycle, horse, foot, kayak, etc.); consumption of alcoholic beverages; high altitude; forces of nature, such as high winds, hurricanes, flooding, etc.; heat exhaustion, equipment failure; civil unrest or terrorism; or the availability of medical services in remote areas and the quality thereof.

Karo Voyage is not responsible for acts or omissions of her Suppliers, their failure to provide services or adhere to their own schedules, their failure to pay any refund, or for any personal injury, property damage, or other loss, accident, delay, inconvenience, or irregularity which may be caused by any party not under Karo Voyage’s control.

Karo Voyage is also not liable for: expenses (e.g. meals, transportation, hotel costs) that are not specified as included in the price of the trip but may be required to get to/from a starting or ending point.

Karo Voyage reserves the right to make hotel and/or route alterations in order to improve the quality of a trip or better accommodate its guests.

By booking your trip with us, you hereby agree to release Karo Voyage from all claims arising out of any problem covered in this paragraph, to submit all other claims within 14 days after the return of your trip, and to litigate exclusively in the courts in Amsterdam, The Netherlands, with a maximum penalty not to exceed the total earned by Karo Voyage in the original transaction.

Karo Voyage is not responsible for the issuance of travel identification such as passports and/or visas and travelers should ensure they have or have been approved for the appropriate documents before purchasing travel.

You are aware that if traveling internationally, you must have a valid passport and depending upon your destination and nationality, you may need to obtain one or more visas.

Electronics – Karo Voyage is in no way ever responsible for damage to personal electronics incurred on your vacation. This includes but is not limited to water damage, bike accidents, loss, and theft.

Karo Voyage is not responsible for expenses incurred by guests in preparing for the tour (e.g. non-refundable advance purchase of air tickets, equipment, travel insurance, etc.) or for any additional travel arrangements made on your own.

Knowing and voluntary execution

I have carefully read and fully understand the contents and legal ramifications of this Limitation of Liability Statement and Assumption of All Risks and Release of Liability Agreement, and all other materials provided to me concerning my trip, including, but not limited to, those regarding cancellation and refund policies. I understand that if I must cancel my booking, the cancellation fee will be applied in accordance with the rates outlined above.
